Caligo Mundi believes in maintaining the privacy of its members. The following policy is a guideline, indicative of our standard practice. We encourage members to know your rights and access further information on the Privacy Act from the Office of the Australian Information Commissioner (OAIC).

The club will never give your details out to anyone without your permission except when compelled by law.

Some of our privacy practices are embedded within our Procedures and Constitution documents, and will be repeated here for ease of access. Please see the relevant sections in the Procedures and Constitution documents for more information and context around citations of these documents. Other relevant information is set forth herein:

Personal Information

As per the Procedures document, Section 4.2:

Upon becoming a Member of the Organization, each Member shall be allocated a Membership Number. Each number will be unique and Membership details will be kept in the Register of Members for the legally required seven years.

All Membership details are protected in accordance with the National Privacy Principles. No details may be accessed outside of the Organization without the express written permission of the Member, endorsed by the Membership Director, unless compelled by law.

The Register of Members and any other Membership details are stored by the Board in locations that are reasonably protected against unauthorised access and misuse. Membership details include information submitted via the Membership form. This is personal information that is retained for the purposes of identifying and managing Membership, and providing Notices to Members and officers of the organisation. Further information around Notices can be found in the Constitution, Section 19, page 14.

Some financial information may also be collected with regards to attendance fees. As per the Constitution, Section 17.3:

The Organization shall retain for seven years records of amounts paid by each Member.

This information is kept for the purposes of providing the proper performance of duties and services of the club, fulfilling our obligations as a not-for-profit with regards to keeping operational and financial records, and reporting to the appropriate regulatory bodies.

If you would like to make any corrections to your personal information, you may update your personal information by re-submitting your details through the Membership form, available here. For access to your personal information, please contact us directly. We may ask for some form of verification of your identity if necessary to ensure the security of your personal information.

Members also have a right to be known by pseudonyms so long as we are still able to reasonably identify you for the practical purposes of managing your membership and our obligations to you.

Sensitive Information

Sensitive Information is defined by Section B.141 in the Australian Privacy Principles guidelines. This may include information about individual’s political beliefs, ethnicity, sexual orientation or practices, amongst others. Please see the OAIC website for further information.

Caligo Mundi does not generally seek to collect or store this information for any members. However, this information may be collected confidentially for a primary purpose such as part of dispute resolution processes. For more information on dispute resolution please see the Code of Conduct, and Sections 4.7 and 4.8 of the club Procedures.

Our Wiki

For users that register on our wiki, our website host stores the personal information that you share in the user profile. All users can see, edit, or delete their own personal user profiles at any time (except they cannot change their username), and we will delete your membership info upon request. If you make a post to the wiki, your posts and IP address are stored indefinitely

For comments or posts on our social media, please refer to the privacy policy of the social media platform, which supersedes our own privacy policy.

Cookies

If you visit our login page, WordPress will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

Other cookies may be set by our website host when you log in to the wiki, in order to save login information and screen display choices. this data is not accessible to us as an organisation. If you log out of your account, the login cookies will be removed.

Media

If you upload images to the website or the wiki, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.
